PRIMARY OBJECTIVE/GENERAL OVERVIEW OF THE ROLE:
The individual will be responsible for receiving, assessing and managing of all returned stock on behalf of customers and to process credits timeously where necessary. This is a key function in the overall customer service delivery as any delays with returns could place a strain on customers’ future orders.
MAJOR ACCOUNTABILITIES
1. Receive & Assess Returns
 Receive all incoming returns and assess reason for return
 Ensure that credit request is authorized by agent
 Adhere to the returns policy
 Check that correct documentation accompanies all returns:
- request for credit (RFC)
- quantity balance
- copy of invoice
• Query missing documents with agent and await receipt until processing further
• Make a decision to credit - or not
• Contact customers if decision is not to credit and arrange to return the items –unauthorized returns
• Forward returned parts to the repair department
2. Process Credits
• Process credits for valid returns
• Capture returns on system in order to credit the customer’s account
• Record the system-generated returns order number on the returns sheet.
• File all returns under each category per month
• Attach the summary sheet to each return
• Send weekly returns to Supervisor
• Prepare weekly returns to warehouse and QC, for sign off by Supervisor before moving down to Inventory manager
3. Administration
• Prepare waybill for items returned, not credited
• Count returns received and sign receipt documentation of Courier Company as correct
• Query any discrepancies and follow up
Companies may expire jobs at their own discretion.
